01 / THE CHALLENGE

A clinic that rents rooms, not just a clinic with a website

Hope Therapy Clinic operates therapy rooms across two locations — Santa Venera and Mosta — used by self-employed therapists who book by the hour. Coordinating that by phone and spreadsheet meant double-booking risk, chasing payments, and a month-end accounting exercise nobody enjoyed.

The clinic needed a public face for prospective clients and their families, and behind it, a system where therapists manage their own bookings and payments — without the clinic staff becoming a call centre.

02 / THE SOLUTION

Self-service booking with the accounting built in

The public website presents the clinic’s services — individual therapy, therapy for children and adolescents, couple and family therapy — alongside a blog the team edits themselves, funnelling enquiries to the clinic.

Therapists get their own portal: live room availability across both clinics, repeat bookings with automatic conflict detection, and a credit account they top up by card through Stripe. Bookings sync two-way with each therapist’s own Google or Outlook calendar every few minutes, so the clinic schedule and their personal diary can never drift apart. Clinic staff manage everything from an admin back office — per-clinic calendars, transactions and refunds, cancellation policies with acknowledgement tracking, and automatically generated monthly PDF statements.

03 / THE OUTCOME

Where it landed.

• In continuous use and active development since 2022 — a long-term engagement, not a one-off build.
• Both locations are scheduled through one system, with conflicts caught at booking time.
• Room payments run on account credit topped up by card, and monthly statements generate themselves.
• Clinic bookings appear in each therapist’s own calendar automatically, and vice versa.
