01 / THE CHALLENGE
Records about children demand a different standard
St Patrick’s is a residential home for children and young people, run by the Salesians of Don Bosco in Malta. Its records — placements, care plans, health information, daily notes — are among the most sensitive data any organisation can hold, and they were living across paper files and disconnected documents.
The brief was as much about control as about features: exactly the right staff seeing exactly the right information, every access accountable, and the data itself staying inside the organisation’s own walls.
02 / THE SOLUTION
Structured care, controlled to the field level
The system models the home the way staff think about it: houses, the residents living in them, and the care team around each child. Care plans are built on a structured assessment framework — domains, skills and tasks — which young people can also self-assess against, making them participants in their own plans. Shift handovers became structured end-of-shift reports, delivered by email and exportable as PDF and Excel.
Access control goes beyond roles: permissions and validation rules are configurable per field, per user, per team and per house — from an admin screen, not a code change — and every record change lands in an audit trail. Staff sign in with passwordless magic links. The whole system runs on-premise, on the organisation’s own server, by design.
