Choosing software is easier when the brief describes the work, rather than a list of features. Before commissioning a custom build, compare three options: configure a tool you already have, connect existing systems, or build something new.

Describe one real workflow

Choose a task such as scheduling a room or confirming a booking. Write down who starts it, what information is needed, what the next person receives and what happens when something is missing.

Separate a missing capability from a configuration problem. A tool that already supports the right workflow may need better setup, access rules or training—not replacement.

Compare configuring, connecting and building

  • Configure when the product fits the process but its setup does not.
  • Connect when suitable tools exist but people move information between them manually. Check API access, account plans and who owns the source of truth.
  • Build when an important workflow has no suitable home, or the required rules and customer experience cannot be supported well by the available options.

These choices can coexist. A custom application can use a payment provider or connect to an existing booking channel rather than rebuilding every capability.

Include the responsibility after launch

Compare more than the first invoice. List account and licence costs, hosting, maintenance, changes, documentation and the work needed to recover when a connection fails.

Clarify who controls the code, data and accounts, and what a handover includes. Existing tools have running costs and constraints; custom software has maintenance responsibilities. Neither removes the need for ownership.

Make the first decision small

Define the smallest useful scope and how you will check it. A representative workflow and a few acceptance examples are more useful than a promise to replace every system at once.
